📨 How to Create a Live Event Notification in Klaviyo

Easily send automated invitations for your live events using Vimmi’s auto-generated HTML email templates and Klaviyo CRM. This guide explains how to connect your Vimmi event schedule with Klaviyo email notifications step-by-step.

🎯 Overview

Every time you schedule a live event in Vimmi, the system automatically generates a ready-to-use HTML email.

You can copy this code and paste it into Klaviyo — no design or coding required.

You’ll be able to:

  • Notify your subscribers automatically about upcoming live events

  • Send beautifully branded emails with event details

  • Include “Add to Calendar” buttons (Google, iCal, Outlook)

🧩 Step 1: Copy the Invitation HTML from Vimmi

  1. Go to your Vimmi dashboard → open the scheduled live event.

  2. In the Email event notification template section, find the block titled “Email template HTML code.”

  3. Click Copy embed code.

    💡 Tip: The preview on the right shows how your email will look in subscribers’ inboxes — including the event image, date, and reminder buttons.

🧾 Step 2: Create an Email Template in Klaviyo

  1. Log in to your Klaviyo account.

  2. Go to Email Templates → click Create Template.

  3. Switch to the Source Code view.

  4. Paste the copied HTML code from Vimmi.

  5. Click Save Template, and give it a descriptive name — for example, “Vimmi Live Event Notification.”

🔔 Step 3: Set Up an Automated Flow

  1. In Klaviyo, go to FlowsCreate Flow.

  2. Choose a trigger — e.g. when a user joins the list Live Events Subscribers.

  3. Add an Email action and select your newly saved Vimmi Live Event template.

  4. (Optional) Add a Delay before sending the notification (e.g., send one day before the event starts).

🌐 Step 4: Connect a Subscription Form

If you’re collecting signups directly from your website:

  1. In Klaviyo, open Sign-up Forms → click Create Form.

  2. Choose a format — Popup, Flyout, or Embed.

  3. Add an Email Input Field and customize your design (e.g., “RSVP for the Live Event!”).

  4. Under the Settings tab, select the list Live Events Subscribers.

  5. Click Publish to activate your form.

🧰 Step 5: Test Your Email

Before going live:

  • Send a test email to yourself.

  • Check that all event details display correctly.

  • Make sure the calendar buttons (Google, iCal, Outlook) work.

  • Verify that the design looks good on both desktop and mobile.
